Whistleblowing Policy

1. Introduction

Soul HeARTful is committed to promoting a culture of transparency, accountability, and ethical behavior. We recognize that employees, volunteers, beneficiaries, and other stakeholders may become aware of our organisation's illegal, unethical, or unsafe practices. This whistleblowing policy is designed to provide a mechanism for individuals to report such concerns without fear of retaliation.

2. Reporting Mechanism

2.1. Anyone who becomes aware of any wrongdoing, misconduct, or concerns within Soul HeARTful should report it promptly.​

2.2. Concerns can be reported in writing or verbally to their immediate supervisor, department head, or the designated whistleblower contact person.​

2.3. If individuals are uncomfortable reporting within the organization or believe their concerns have not been adequately addressed, they can make an anonymous report through an external, independent reporting platform, ensuring the confidentiality of their identity.

3. Protection Against Retaliation

3.1. Soul HeARTful will not tolerate any form of retaliation against individuals who make good faith reports under this policy.​

3.2. Anyone who retaliates against a whistleblower will be subject to disciplinary action, including potential termination or legal consequences.

4. Investigation

4.1. All reports will be promptly and thoroughly investigated. The organization will ensure that investigations are conducted objectively, fairly, and impartially.​

4.2. Whistleblowers will be informed of the outcome of the investigation as far as legally and practically possible.

5. Confidentiality

5.1. Reports and the identity of whistleblowers will be treated confidentially to the extent permitted by law.​

5.2. However, individuals making reports should be aware that complete confidentiality cannot be guaranteed.

6. Anonymous Reporting

6.1. Individuals who wish to remain anonymous can submit their concerns through the external, independent reporting platform.

7. False Reporting

7.1. Reports made in good faith are protected. However, individuals who knowingly make false reports intending to harm another individual or the organization may be subject to legal action.

8. Policy Review

8.1. This policy will be periodically reviewed and updated to ensure it aligns with best practices and legal requirements.

9. Contact Information

9.1. The name and contact information for the designated whistleblower contact person will be made available to only the Directors.

Soul HeARTful is dedicated to upholding ethical standards and addressing concerns promptly. This policy is in place to ensure that no one faces consequences for reporting concerns in good faith.
